Event transportation for proms, games, conventions and group trips

Trans Dispatch runs event transportation services from New York City. Our own dispatch covers every borough of the city, Long Island, Westchester and the neighboring states of New Jersey, Pennsylvania, Connecticut and Massachusetts. Beyond them, partner operators run events nationwide.

Typical jobs include a prom night in Queens, a game at MetLife Stadium, a trade show at the Javits Center and a church group’s day in Atlantic City.

Vehicles include executive Sprinters for up to 14, party buses for 10 to 40, minibuses for 24 to 35 and motorcoaches for up to 56. On board, expect leather seats and phone chargers, LED lighting and a bar area, or reclining seats, a restroom and luggage bays.

Event vehicles for groups of 10 to 56

Four vehicles cover most events we plan, from a group of 10 to a coach party of 56. Capacities are typical for each class; the exact vehicle is named on your quote. For eight in formal wear, see our limousine service; for conferences and larger programs, see corporate transportation.

Executive Sprinter for team outings, up to 14

A good fit for a corporate team heading to a gala dinner or a wine and brewery tour on the North Fork. Everyone faces forward in leather seats with reading lights and chargers, and the rear luggage area holds coats and bags between stops. More on Sprinter van rental.

Party bus for celebrations, 10 to 40

When the ride is part of the celebration: birthdays, bachelor and bachelorette parties, prom, and casino or winery days. Expect perimeter seating, LED and fiber-optic lighting, Bluetooth sound, a bar area and a restroom on larger models. Sizes are on party bus rental.

Convention shuttle: minibus for 24 to 35

Built for timed loops, such as shuttles between Midtown hotels and the Javits Center, or a school day trip. Forward-facing seats and under-seat storage suit short hops, and dispatch can check whether a PA microphone is available for announcements. See minibus and shuttle bus rental.

Motorcoach for church, school and team trips, up to 56

For church and school groups, stadium days, multi-day tours and out-of-state runs. Reclining seats and a restroom ease a long day, team kit rides in the under-floor bays and the PA system helps with head counts; Wi-Fi and screens depend on the coach. Coach sizes are on charter bus rental.

    A dispatcher checks availability and replies with the vehicle class and the quote. Nothing is charged on this website.

  3. Ride

    Confirm, and the chauffeur’s details reach you before pickup. Airport rides are matched to the flight, not the clock.

Event transportation questions

How much is a prom limo rental?

Prom is priced by the hour with a minimum, and the block usually covers photos, the venue and the ride home. Your quote sets out the minimum for the vehicle and the price for your date, and May and June dates are booked well ahead.

What does dispatch need to plan transportation for an event?

The venue, the start and finish times, the headcount, every pickup point in order, and the name and number of whoever is in charge on the day. For a stadium, arena or convention, add the event name so dispatch can check that venue’s bus rules.

Can you shuttle attendees between hotels and a convention center?

Yes. Convention shuttles run as timetabled loops with minibuses or coaches, a driver per vehicle and a dispatcher watching the loop, so the coordinator inside the hall does not have to.

Do you rent buses to churches and schools?

Yes. A church or school group books a coach or minibus with a driver for the day. Send the number of riders and chaperones and each stop in order; for a long ride that needs a restroom, pick a motorcoach.

How early do you stage the vehicle at a stadium or arena?

Early enough to be in the agreed spot before the end of the event, which varies by venue. MetLife, MSG, Barclays, Citi Field and Yankee Stadium each have bus rules; dispatch checks them for your event and puts the meeting point on your confirmation.

Can a group book a casino day trip to Atlantic City?

Yes. A coach or minibus collects the group at its pickup points, the hours at the casino are part of the quote, and the time for the ride home is fixed before you leave New York.

Can a sports team book a bus for a tournament weekend?

Yes. A sports team bus rental is usually a minibus or coach for the weekend with the driver’s hours planned across the days, equipment in the bays and the hotel on the itinerary.
